At Preschool Portraits, your child’s privacy and safety are incredibly important to us. 

Below you’ll find clear information about how images are taken, stored, shared, and protected.

​Private Online Galleries

Every child who is registered to be photographed will have a secure, private online gallery created just for them.

Each gallery is protected by a unique password.
The password and viewing link are emailed directly to the parent or guardian who completed the registration form.
Your gallery will only contain images of your own child.
Families cannot access any other child’s individual images.

We only photograph children who have been formally registered. If we have not received a completed registration form, we do not take individual portraits, as we do not have permission to do so.

By submitting a registration form, you are giving us permission to photograph your child and display those images within your secure private gallery.

Permission for Social Media, Website & Promotional Use

Within our online registration form, you will be asked whether you grant permission for your child’s images or video to be used for marketing or educational purposes.  You will select either Yes or No.

If you select YES:
Your child’s image may be used on:

Our website
Social media platforms (such as Facebook or Instagram)
Printed promotional material (posters, brochures, flyers)
Educational material or training resources

We never publish children’s names or identify their preschool, kindergarten, or childcare centre when sharing images publicly.

If you select NO:
Your child’s images will remain strictly private.
They will only appear in your secure gallery, and we will never share them online, in print, or with any third party.

Sharing Gallery Access With Family

Viewing details and passwords are sent only to the parent/guardian who registered the child.

If you wish to share your gallery link and password with extended family members, that is completely your choice. They may place their own order using their own contact details if you provide them access.

We will never release viewing details to anyone other than the registered email address.

Class & Group Photos - Traditional Class Photos

​A small, low-resolution preview may be shown inside each child’s private gallery.
 ​No names or centre identification are displayed in this preview.
The preview is provided simply to help families decide whether they would like to purchase the class photo.

If you prefer your child not to appear in the preview version, we can place a discreet black dot over their image. 

Please contact us directly or inform your child’s teacher so they can notify us.

We work closely with educators and follow their guidance regarding any children who should not appear in previews.

​​​If You Do Not Want Your Child Included in the Class Photo

If you do not wish for your child to appear in the traditional class photo, please notify us or your child’s teacher as early as possible.  While we aim to be inclusive in class images, we fully respect family preferences and will ensure your child is not included if requested.  Please note that traditional class photos are sold as printed copies only and include the class name and centre location on the print.

Important Note About Family Sharing

Once families receive their printed class photo, we cannot control whether someone chooses to photograph the print and share it online.  We kindly ask families to respect the privacy of all children and refrain from posting class photos on social media.

Where Images May Be Used (If Permission Is Granted)

If you provide permission for image use, photographs may appear:

- On our official website
- On our social media pages
- In printed marketing materials shared with early childhood centres
- Within professional educational resources or training material

We always avoid identifying details. No child’s name is ever included, and we do not disclose their preschool or location unless explicit additional permission has been given.  If a child is wearing clothing that clearly identifies their centre, we generally avoid using those images publicly.

If You Change Your Mind

You are absolutely welcome to change your decision at any time.

Simply contact us, and we will promptly remove your child’s image from social media, website, or promotional materials. We fully respect your wishes and will always honour your request without hesitation.
